How Aviator Can Shorten Your Review and Approval Cycle

This week Natasha faces a formidable challenge. Her company must release the new Y2K Compliance Auditing procedure before end of week, but the procedure must be reviewed and approved by half a dozen managers first... managers that are conveniently located in three different locations. However, with Aviator's integrated workflow engine, she'll make her deadline with time to spare.

Natasha has been working on the draft procedure. She has set reader access to -No one- so that only her and the assigned editors or reviewers can see the document until it is released. Now she is ready to send her procedure for review by clicking the Create Review action.

Natasha can choose from several review profiles that have been pre-defined for this type of document. Aviator documents are file containers. Each review profile defines a different type of workflow, that can optionally be refined by the document manager. The manager can even leave some review settings blank, to be defined later by the assigned reviewers.

Natasha changes some of the review settings in the profile before starting the review. The first reviewer is notified by e-mail with instructions and a link to Natasha's document.

Each reviewer uses the Review Action link to perform their review. In this case the reviewer is prompted for a rating. Other actions include editing, commenting, and approving the document. The reviewer is then prompted to assign the document to the next person in the workflow. The reviewer gets to complete the review assignment for the next assigned person, which adds flexibility to the review process.

Reviewers that do not complete their action on time are reminded by e-mail or passed over, depending on the escalation settings Natasha defined in her workflow.

Natasha can monitor the progress of the review by opening the document log. At the end of the review, Natasha is notified by e-mail, the results are compiled, and Natasha can choose to modify the document and send it for another review or release the document immediately.
